Getting started

How to set up Kuido for your organization: signing in, filling in the organization details, inviting your team and choosing the right roles.

Your organization in Kuido

Each organization has its own separate environment in Kuido. You can recognize it by the organization code in the address bar: /t/code. One organization’s data is never visible to another.

After you sign up, we set up the environment. The first owner receives an email with a link to set a password. The link is valid for a limited time; if it has expired, request a new one via Forgot password? on the sign-in page.

Signing in

You can sign in in two ways:

  • With email address and password. Then preferably turn on two-factor authentication, or add a passkey. See Sign-in and security.
  • With your Microsoft work account, if your organization has set this up. On the sign-in page, choose Sign in with Microsoft and enter the organization code.

If you belong to more than one organization, you switch organizations in the menu at the top left.

Filling in the organization details

As the owner, you will find your organization’s details under Organization:

  • name, logo and contact details;
  • address and country;
  • registration: KvK, CRIB and ABB numbers and VAT number;
  • bank and billing details, currency and payment term;
  • time zone and language.

The time zone determines what “today” is in the planning. The language is the default language for team members who have not chosen a language themselves, and for the emails they receive.

Inviting your team

Go to Team and choose Invite team member. Enter the name, email address and role.

  • If someone does not have an account yet, they receive an email to set a password.
  • If someone already has an account (for example with another organization), they get access immediately and an email with a link to sign in.

For each team member, you can see whether the invitation has been accepted and when they were last active. Use the menu next to a team member to change their role or remove them from the team.

Roles

Role What this role can do
Staff member Carry out tasks and inspections, add photos and complete them. Sees the planning, the properties and the team.
Manager Everything a staff member can do, plus manage properties, planning, recurring tasks, checklists, inspections and the team.
Owner Everything a manager can do, plus the organization details, sign-in with Microsoft and accepting the terms.

An organization always has at least one owner. Only an owner can make someone else an owner.

Accepting the terms

The owner accepts the terms and conditions and the data processing agreement on behalf of the organization. Each user accepts the privacy statement themselves. When a new version is published, Kuido asks for acceptance at sign-in.

Your own profile

Under Settings → Profile you change your name, email address and language. If you do not choose a language, you follow your organization’s language. Under Security you change your password and manage two-factor authentication and passkeys. Under Appearance you choose light, dark or match your system.
