Inspections

Carry out inspections with a checklist, record defects with photos and finish with a PDF report.

Checklists

A checklist is the template for an inspection: the list of check items you go through each time. Managers create checklists under Checklists.

A checklist has a name, a description and check items. Group check items by section (for example Roof, Electrical, Plumbing) and use Move up and Move down to put them in the order you come across them during a round.

If you change a checklist, existing inspections keep their own items. If you no longer use a checklist, archive it: it can then no longer be chosen for new inspections.

Scheduling an inspection

Under Inspections, choose Schedule inspection and fill in:

  • the property and optionally the asset;
  • the checklist, or Without checklist for a free-form inspection;
  • the date and the inspector;
  • a title (if you leave it empty, it becomes the name of the checklist and the property).

Each inspection gets a fixed reference, for example INS-2026-0001.

Carrying out an inspection

Open the inspection on your phone or iPad and assess each check item:

Assessment Meaning
OK The item has been checked and is fine.
Defect Something is wrong. Describe the defect in the comment.
N/A The item does not apply here.

If you come across something that is not on the checklist, add an extra check item. Save progress saves your work so far; you can continue later.

Add photos and documents to the inspection, for example of a defect. You can do this straight from your phone’s camera.

Completing

Under Conclusion, fill in the overall condition (good, fair or poor) and a summary. Then choose Complete. You can only complete the inspection once all items have been assessed.

A manager can reopen a completed inspection; the findings then become editable again.

The report

For each inspection, you can download the Report (PDF). It contains:

  • the reference, the property (and the asset), the inspector and the dates;
  • all check items with their assessment and comment, by section;
  • the overall condition and the summary;
  • the photos.

The report is useful for sharing with an owner, an insurer or a contractor.
