Properties and planning
Record your buildings and sites as properties, add the assets that need maintenance, and plan one-off and recurring tasks.
Properties
A property is a building, location or site that you manage: an office, a residence, a sports facility, a parking lot. You will find them under Properties.
A property has a name, an optional code, a type (for example residence, commercial building, sports facility, public building or site), an address, a photo and notes. On a property’s page you see its open tasks, inspections and assets.
If you no longer use a property, archive it. It disappears from the selection lists, but tasks, inspections and history are kept. You can restore it later.
Assets
An asset is something within a property that needs maintenance, checks or inspection: an air conditioner, a pump, an elevator, a fire extinguisher, playground equipment. You add assets on the property’s page.
For each asset you record:
- name and type (for example Meeting room air conditioner, type Climate);
- the location in the property;
- a serial or reference number;
- the date it was installed;
- notes.
If an asset is temporarily or permanently out of use, turn on Out of service.
One-off tasks
A one-off task is work that needs to be done once. In the Planning, choose Task and fill in:
- What needs to be done? and any instructions;
- the property and optionally the asset (without an asset, the task applies to the entire property);
- the date, the priority and the assignee;
- whether it is a statutory requirement;
- Overdue after (days): the margin before the task counts as overdue.
Recurring tasks
For work that keeps coming back, create a recurring task. Choose how often: every so many days, weeks, months, quarters or years, from a start date and optionally until an end date.
Kuido automatically creates the tasks in a series, up to six weeks (42 days) ahead. Every night, that window moves forward by a day. This way the planning is always ready a few weeks ahead, without endless lists.
- If you change a series, the future open tasks are rescheduled. Completed tasks stay as they were.
- If you pause a series, the future open tasks disappear. When you resume it, they are created again.
For statutory inspections (fire extinguishers, elevators, legionella), use the Statutory requirement option. Such tasks are listed first when they are overdue.
The planning
The Planning shows two weeks at a time, by day. Browse with Previous and Next, or go back to Today. Filter by property and by assignee; My tasks shows only what is assigned to you.
Overdue
A task counts as overdue when its date plus the margin (Overdue after (days)) has passed and the task is still open. With a margin of 0, a task is overdue from the day after the scheduled date.
In the overview and the planning, overdue tasks are shown separately. Statutory requirements are listed first. If a recurring task has been missed several times, you see one line with the count, for example 3× missed, instead of three separate lines.
Completing a task
Open the task, describe what you did or saw under Comment, and choose Complete task. Add photos or documents under Photos and documents: JPG, PNG, WebP, HEIC or PDF, up to 10 MB per file and ten files at a time.
A manager can reopen a completed task. Colleagues who have the overview or the planning open see the change immediately.
